Student Worker Responsibilities

Circ. Desk Tasks

At the beginning of every shift please do the following...
Before you start your own work!

  1. Login with your personal Evergreen login credentials. Make sure you login at the beginning of each shift and logout at the end of your shift.
  2. Check the “What’s New” section on the Student Worker Guide. Read any notices or FYIs for the day and act accordingly.
  3. Reshelve all material in the reshelving area, including DVDs, Career books, Holcomb books, New books, Display books, etc.
  4. Reshelve throughout your shift as new materials are returned.
  5. Pull books from the Reference Room reshelving shelf, scan them for in-house use, and re-shelve them in the Reference Room.
  6. Take headcounts of patrons in the library, using the headcount tracker.
  7. If you are on a two-person shift, one of you should also check to see if the Scores or Periodicals sections need to be reshelved.
  8. Organize and tidy the circulation desk and surrounding area. Please minimize the amount of stuff you have at the circulation desk, limit to only the essentials you need. Keep other items in the back.
  9. Other duties as assigned.

POSTED March 24, 2025

  • Poster Pick-up. To save paper and printing, organizations that put up unauthorized posters will now be contacted and given the option to pick up their materials. If someone arrives to pick up their posters, they’ll be on the labeled shelf above “Reshelving-Sensitized.”

POSTED February 14, 2025

  • Commuter Lounge - The current policy for the commuter lounge is that only commuter students should be using those spaces. If a student comes to the desk with a question or complaint about the commuter lounge, kindly let them know that the library does not oversee the space. The student should contact Student Life directly (via email or phone call). We are also suggesting that you just transfer the students directly (Student Life's extension is 4263). To transfer, just hit "Transfer" on the phone, dial in the extension number, and let it ring. After it rings, you should be able to hang up and the call will proceed. If that's not the case, you can also hit "Transfer" again after you've dialed the extension in. Let us know if you have any questions. As student workers, you are not expected to kick anyone out of the space or contact Student Life on the student's behalf. If you have any problems, feel unsafe, or are met with aggression, feel free to call GoPo or press the panic button under the desk.
  • We now have two parking passes for Mass DCR parks. These check out for three days and are for use by Gordon patrons only. Details are on the back of the pass and a link to the list of parks is on the front. They are being kept in the same drawer as the Costco/BJs cards.
  • The Curriculum Library has become an issue recently with the card reader going down frequently. Should you encounter this problem, you can use the 1472 key to get into the space physically (it takes a little bit to get it to open, so don't panic if you don't get it open immediately). Then let CTS know that the card reader is down and needs to be reset.
  • Spring Break - I know spring break probably feels far away, but it isn't in reality. You are expected to work your normal shifts through Thursday, March 6th. Chris Cos has said she is willing to work the Friday before Spring Break, so you guys are off the hook. Please get coverage if you need it. We'll be open Monday (3/10) - Friday (3/14) of Spring Break. If you'll be around and would be willing to work 11:30am-5pm during Spring Break, please reach out to Rob & Sarah. (NOTE: We've changed our break hours, so we're open until 5pm instead of 4pm.)
  • Picture book & Juvenile book reshelving behind the desk - Another reminder that these should be shelved in call number order. They have not been reshelved as such recently, so please double check that you are reshelving them correctly.|

  • Reminder that if the Curriculum Library key card access goes down, you can use the 1472 key to let open the door. It may take a few tries (it's a bit finnicky), but it should open.
     

  • When books come in with a "long overdue" notification. Please, make sure to email Naomi & Ben with the title and barcode of the item. It just cuts down on them running around looking to see if the books have been returned.

  • Tech ban is over. You may use your phones (please don't be glued to videos or whatever on your phones), laptops, etc. Please make sure you're paying attention to your surroundings and patrons. 

  • Continue to sit at the center of the desk.

  • The Juvenile books and Picture books need to be reshelved by call number order behind the desk. It's come to our attention that they haven't been getting reshelving in call number order recently, so please pay extra attention when reshelving those behind the desk.

  • Reminder to put a "storage" or "repair" card in books going on the problem shelf. This just helps Naomi & Ben know what's going on without too much searching.

  • If you get requests from patrons on the phone that are overly demanding, specific, or impossible you can feel free to let them know that they should email library@gordon.edu with their request. You do not have to try and fulfill requests like this yourself. You can always tell them that you are a student worker, and they'll need a librarian, and email would be the best. Should they not want to email you can always see if Carolyn or Myron is in their office.

This is the new updated un accompanied minor policy:

 

Children in the Library 

Our stated policy is, “Caregivers are responsible for the conduct and safety of all minors in the library. Minors under the age of 14 are welcome in Jenks Library if they are always accompanied by an adult.”  

The goal with unaccompanied children policies is not to ban children from the library, but rather to reinforce that library staff (including you) cannot be responsible for the supervision of children. You are never expected to care for unaccompanied children, only to be kind and work with GoPo to reunite them with their responsible adult. 

If you find a child who doesn’t have a caregiver present:  

  1. Attempt to find their caregiver. Introduce yourself and your job to the child and ask where their parents are. For example, “Hi, I’m Carolyn, and I work at this library. I need to find your parent. Can you point out where they are?”  

  2. Contact a library staff member. You are also welcome to do this as a first step.  

  3. If the child is not causing a disturbance, you don’t need to escalate it in the moment. If you see them being picked up by a faculty or staff member, please email Dr. Myron Schirer-Suter (myron.schirer-suter@gordon.edu) with the faculty or staff member’s name(s) and a brief description of what happened, so that he can follow up. 

  4. If it is during the evening or the weekend, and the child has not been able to point out their caregiver, you can tell the child, “You’re not in trouble, but I’m going to need to call GoPo so that they can sit with you and call your parents.” Call GoPo and let them know that there’s an unaccompanied child in the library, and you need their help contacting their caregiver.

  • The Papercut bookmark has been renamed to 'Printer Points'

  • Information on how to add printer points can be found under the Cash Register + Papercut section of the circ manual on the student site

  • Don't forget to do the headcount tracker - especially the afternoon and evening hours. I've noticed some days only have a morning time and then nothing later in the day. Please make sure you are prioritizing that at least once during your shifts

  • Make sure that you are signing all of your notes (sticky note, scrap paper, etc.), so that I can follow up with any questions if needed.

  • If items are missing from a board/card game, please be specific about what exactly is missing and how many items are missing. Along those same lines, if you don't know what a piece/card is supposed to look like, look at the instruction manual that comes with the game as they often have illustrations of the pieces/cards.

  • Keep the BJs and Costco cards in the sleeves. They should not be removed from the pouches. The full card & pouch combo should then be given to the patron.

Reminder to please make sure that you are telling patrons the exact due date (whether day or time) of items that are checked out. This is especially necessary for the library of things and course reserves that check out for a specific number of hours. It's also probably worth mentioning to the patrons that they accrue fines as well. So, saying something like, "You [item] is due at [time]. It will accrue late fines."
 

Laminating sheet prices are now posted on the student site (under "Cash Register & PaperCut" under the "Circulation Manual" tab) and also in the FAQ section. I've also handwritten them into The Binder of Knowledge in the "Cash Register" section. As a general reminder, the prices also live on the cash register excel sheet online and on the folder that is with the laminating sheets.
 

Study room 406A has been getting locked recently. I think it's because the lock is easy to accidentally flip. You can use the 1472 key to fully unlock the door.

Welcome back! Just a few reminders as you get back into the swing of things:

1. Binder of All Knowledge - The binder has been updated to include most of what was talked about at the student worker meeting on Tuesday. It includes policies, password information, where to find forms, how to use the Cash Register form, Board Game Library procedures, etc. Please make sure you flip through it on your first shift.

2. Circ Desk Arrangement - As most of you saw at the student worker meeting, a lot has changed behind the desk. On your first shift (or your next shift) take a tour to make sure you are familiar with where everything belongs. If you have any questions let Marco or I know.

3. Reshelving Shifts - If you have not done so, please let me know when you can do your 1-hour weekly reshelving shift ASAP. You will not start reshelving in the stacks until after you have completed the reshelving refresher. I'll have more information on this in this week's weekly wrap-up.

4. Technology - No headphones should be used at the desk. Ever. Technology including your phone (within reason), tablets, iPads, laptops, etc. cannot be used at the desk until September 9th. 

5. "Wizard" Training - Please complete the "wizard" training (LC Easy) during your first shift. Text me a picture of your score or print it out and stick it in my drawer at the circ desk.

New cash register instructions: 

0. Open the Circ Desk Cash Transaction Excel spreadsheet through this link or through the tab that automatically opens in Chrome. You will need to log in with your Gordon email and password. The computer to the left nearest the doors automatically opens this tab.

1. Enter the date in the Date column.

2. Enter the Type from the category; please spell it the same as it is written. For laminating pouches, just write #10, #14, or #6.

3. Enter the Cost per Item for copies and pouches OR enter the amount of the fine or the amount someone is adding to Papercut.

4. Enter the number of copies or pouches in the Quantity column. For fines or Papercut, enter "1."

5. The Total Cost will automatically calculate. Do not edit this column.

6. Collect cash from the customer and enter the amount in the Cash Given column.

7. The amount of Change will automatically calculate. Do not edit this column.

8. Use the key to open the cash drawer and give change.

There is now only one way to print. The new instructions for printing are as follows:

  1. Set up Mobility Print to print from your personal device.
  2. Use the instructions through the link below to set up Mobility Print on your phone, tablet, or laptop.
  3. Print your document directly from Google Docs, a webpage, Word, PDFs, and more!
  4. Select ​papercut2\GordonSecurePrint-BLACK or ​papercut2\GordonSecurePrint-COLOR as your printer.
  5. Select "Print"
  6. Go to the printer and release it from the printer by tapping your Gordon ID card.
  7. Choose "Print Release" to select which items you want to print or select "Print All" to print all items.

Hold for Authentication Mac Troubleshooting

Mac users will occasionally get a "Hold for Authentication" error. When they print, they're prompted to log in, but Mac autofills the username with FirstNameLastName when it should be FirstName.LastName. Here's how to trouble-shoot:

  • If you're showing a Mac user how to print for the first time, ask them to check the username when the sign-in box appears.
  • If they already have a "Hold for Authentication" error, cancel that document and try to print again.
  • If, on the reprint, the sign-in box doesn't appear, send them to CTS. They likely checked a box to auto-sign, and their computer is automatically signing in with the wrong username. CTS can reset this (Ross Clark and Marc Frigon in CTS told us to send Mac users with recurring hold for authentication errors to CTS).

REMINDER: Reference books are not allowed to be checked out. If a student tries to check one out please remind them of this.

Reference Room Book Usage - We're also asking that you guys help us gather stats on the usage of the Reference Room books since they aren't checked out. You'll use the "Record In-House Use" function under the "Circulation" tab at the top of the Evergreen page. Make sure you are keeping track of this throughout your shifts at the desk. If there are a lot of books, feel free to bring one of the book carts to bring the books from the reshelving area in the Reference Room back to the front desk. Check them in using the In-House function and then reshelve them after they've been checked in. If you have any questions about this, let me or Carolyn know. 

Headcount Tracking - We'd like you all to make sure that you're doing the headcount tracker, especially on the weekends and evening/night shifts when librarians aren't typically around. The sheet for tracking is in the new folder holder thing at the desk. For the most part, for longer shifts, do it sometime near the beginning of your shift and then again toward the end of the shift. You guys kind of have an idea of how many people are around, so find out what works best. If you have a shorter shift, you can do it halfway through your shift or so. As always, use common sense. If the desk is busy prioritize that instead of doing a 15-minute head counting tour. If you have any questions about head counting or are confused about any of the locations let me or Carolyn know.   

Reminder that Course Reserve slips exist. They're the pink slips near the band aids at the circ desk. If professors or TAs are bringing books in to put on hold, they need to fill that out or have filled out the online version and submitted it already. The most important part we need is how long the reserve book will be checked out for. If you have questions, you can also ask Ben or Naomi.   

Make sure that you are reshelving course reserves properly. They should not go in the general reshelving area, but instead on the course reserves shelf. We've already found some misshelved course reserves, so please pay close attention when items are being returned to the desk.  

We now have two BJs cards. They have a slightly new function. If a staff member or faculty member wants to check out a BJs card, but the cards are already checked out, they can contact purchasing (purchasing@gordon.edu) and order what they need online. This is for staff and faculty ONLY.

Item Check-In - Things are still not being checked in properly and it has been the worse that I've ever seen it. This isn't a once in a while problem it is literally a once a day or multiple times a day problem which is time draining for Ben, Naomi, Carolyn, and myself. We're having to take time to respond to sometimes angry or rude patron emails, find if the item was actually turned in, clear the fines, email back the patrons, etc. You guys need to step it up. I don't know why this is such a problem, but it is an unacceptable problem. This is a basic part of your job. Checking in and checking out should not be where the problems are coming in. The main problem is coming with the library of things items (chargers, extension cords, headphones, etc.) and course reserves mainly because these are still being fined and cause massive fines when things are checked in (they accrue hourly).

Alert Messages - Make sure you are reading and processing the alert messages. Do not just clear them away. They are there to make sure that you are paying attention to location or special messages about what to do with the items. So, please pay close attention to those.

Curriculum Test Room - Reminder to please make sure the door is fully closed and locked behind you. Recently Naomi found it open/unlocked. The door is old and warped, so you have to fully pull it closed behind you.

Closing Reminders: Please remember to shut all the windows and to turn off all of the lights when closing the library. Particularly in the ASC.

Holds Shelf: Books on the holds shelf are still not getting checked out properly. Please refresh yourself on the different hold types. When in doubt, check out the library policy page or ask a librarian.

Curriculum tests: You should not be fully unlocking the door (just turn the key to the right and let people in so that the door remains locked) and double check that the door is fully closed and locked after the patron has left the room. Earlier this week, Naomi found the door unlocked which is not good.

Updated Policy

Service Animals & Emotional Support Animals (ESA)

Jenks Library welcomes all service animals. The Americans with Disabilities Act (ADA) defines service animals as “dogs that are individually trained to do work or perform tasks for people with disabilities.” Massachusetts includes service animals in training in this definition. For more information on the ADA and service animals, click here!

Emotional support animals provide emotional support but do not have specific training to assist with work or tasks; they are not considered service animals under the ADA. Emotional support animals are allowed in Jenks Library, but they must be leashed, harnessed, or tethered, and may be asked to leave if they are disruptive to other patrons. For questions about emotional support animals in Jenks Library, please email library@gordon.edu. For more information on emotional support animals in dormitories, please contact Student Life.

Gordon College policy is that dogs must be leashed at all times anywhere on campus property.


Legally, we must accommodate service animals but do not have to accommodate emotional support animals (ESAs) in Jenks Library. ESAs are not considered service animals under the ADA, but there are provisions for ESAs under the Fair Housing Act, which does not apply to public buildings such as Jenks Library.

If a patron complains that an ESA is being disruptive, whether that is due to allergies, fear, or noise, we can ask for the ESA to relocate or leave the library. We cannot and do not ask a service animal to leave the library.

To distinguish between service animals and ESAs, library staff are permitted to ask the following two questions about service animals:

  1. Is the dog a service animal required because of a disability?
  2. What task or service is the animal trained to perform?

Additionally, service animals can only be dogs, or, in rare instances, miniature horses.

You cannot ask for:

  • Information about their disability
  • Documentation on the disability or the dog’s training
  • A demonstration of the dog’s training

Donation Policy

Donations will be accepted by appointment only. Please adhere to the following standards when donating materials:

We do not accept:

  • CDs, VHS tapes, cassette tapes, computer software, textbooks more than 10 years old, magazines, encyclopedias, or outdated reference materials.
  • Books with mold, mildew, excessive dust or dirt, water damage, excessive marks or highlights, or missing pages.

We do accept:

  • Donations of all types of books that align with our collection and mission.

Donations will be accepted at the discretion of the library staff and any materials not added to the collection will be given away or recycled.

Student workers are not allowed to accept donations without prior instruction from library staff.

Misshelved Items - Some materials have been getting misshelved again. Please make sure you are paying attention to the prefixes (Holcomb, Ref, ect.), any alert messages, and the course reserves especially (should have a yellow dot on the spine noting that they're a reserve book).

Reshelving Items in Call # Order - Remember that some sections of reshelving behind the desk need to be done in call number order. This includes general stack books that have been sensitized, juvenile & picture books, and DVDs. A lot of these have been out of order lately.

Holds Shelf - There seems to be some confusion over items on holds shelf. Please review the info on the Holds Shelf page on the student worker site, but as an overview here is what you need to know:

  • ComCat & NOBLE books always need to be checked out to a patron.
  • Interlibrary Loans (which Lori deals with) should have a slip saying that they are already checked out to the patron.
  • When in doubt, check it out.
  • When a patron has a hold ready for pick up, there is an alert that pops up saying that there is a hold ready. It will also show up in the holds area as "Holds 1/1" (or whatever number of holds the patron has processing). This just means that the hold is available. NOT that it has already been checked out.

Patron Registration Form - The patron registration form, which you need to fill out when a patron does not have a Gordon or NOBLE library card, can be found on the desktop of the computer closest to the doors. It's in the folder marked "Forms."

Dishes - Please do not leave Lane or Bistro dishes behind the desk. I'm pretty sure Dining Services DOES NOT like when dishes and utensils leave Lane. 

Transit Slips for Outgoing Books - Just a reminder, outgoing NOBLE books that trigger a transit slip DO NOT need a slip printed UNLESS there is no barcode on the front. Barcode on front = no slip; no barcode on front = printed slip.

PHI 118 Course Reserve - If students come looking for "God and the Basis of Morality" as a course reserve for PHI 118, it is actually the title of the chapter. The book you'll give them is titled Philosophy of Religion. It should be the only book on reserve for PHI 118.

Replacement Costs - We have a lot of overdue materials as of right now and people are starting to see replacement costs showing up on their accounts. These books need to be returned ASAP or the fine you see in their library account will be sent to the Financial Offices. Once this has been sent, it is charged to their student account, and it is out of our hands. Meaning we cannot clear those fines/fees once they are sent. Because these fines exceed the fines amount, you are unable to check books out to these patrons. 

  1. For someone trying to check out a book
    1. Tell them that they exceed the fines threshold. 
    2. Check what the fines are for (go to the tab marked "Bills") and tell them the amount.
    3. If the books are highlighted yellow with a "Long Overdue" designation, the fees are replacement costs. 
    4. Let them know that these books need to be returned ASAP or they risk it being charged to their student account.
    5. If the fee statement hasn't already been sent to the Financial Office, the fees will clear once the books are checked in.
  2. If someone approaches saying they have long overdue books
    1. Check their account - use their ID to go to their library account and click on the "Bills" tab. 
    2. Follow the steps above.

       

Long Overdue Books - When long overdue books are checked in, they trigger an alert message that says, "Long Overdue." Please send an email Naomi with the title "Long Overdue Returned" and tell them the title and barcode on the book. This is an imperative step, otherwise Naomi has to run around looking for these books just to find them on the shelf.

Long Overdues - If you check in a book or DVD that pops up with a "long overdue" alert, please email Naomi McDermott the title and barcode (starts with 316). Title the email "Long Overdue Returned."

IMPORTANT - Fines/Replacement Costs - Just because books no longer are fined DOES NOT mean that patrons should be encouraged (nor should student workers) to keep books out indefinitely. Materials still need to be returned on time or renewed. Items may not accrue fines, but they do incur REPLACEMENT COSTS that can be very hefty. In addition, by not returning books, they trigger a "long overdue" designation. It then gets added to a list of long overdues that Naomi has to look for every few weeks. So, please do not WASTE. NAOMI'S. TIME. with books that people (or you) are just not turning in. Which we do not want to do because she is busy and stressed and we don't want her to quit or die. So... PLEASE. REMIND. STUDENTS. THAT. MATERIALS. NEED. TO. BE. RETURNED. OR. THEY. WInterlibrary Loan. GET. CHARGED. A. REPLACEMENT. COST. It will automatically go on their student account, and you get blocked from doing certain things. Spread the word. There are still consequences for people who do not return materials.

Suggestion Box - Carolyn has created a suggestion box for you guys to use. It's located at the circ desk next to the Band-Aids. There are currently 3 specific questions we're asking that you answer, but feel free to throw in other suggestions if you have them. 

 

Microsoft Teams Rundown

Accessing channels (group chat)

To access the "channels" for the group chat & shift coverage you'll need to go to the "Teams" icon at the bottom of the Microsoft Teams app. Once you click on this you should see "Spring 2023 - Circ Desk" with two channels underneath - "General" and "Shift Changes." The shift changes chat will only be used for getting shift coverage and the general chat is for anything else (questions, jokes, etc.). 

To turn on notifications of these chats, please go into each individual chat/channel and use the bell notification in the top right-hand corner to turn on the notifications. You'll need to do this for both channels. 

If we decide that we don't like the channel approach, we can always switch to the "Chat" function. This was just what was suggested to me for starting out. You can use the "Chat" option to message me or other student workers directly. 

Offering up Shift Coverage

Once you guys have decided who will take the coverage needs, the person who "owns" the shift will go into their shifts schedule and use the "offer" button in the top right-hand corner. It will be sent for approval to me, and I'll approve it. Once it has been approved the shift will automatically show up in the schedule of the person covering the shift. 

You can find your shift schedule by going to the "More" option at the bottom of the Teams screen and choosing "Shifts" (looks like a clock). This will show any, and all shifts you have. This is the screen you'll go to for offering up shifts.

Headphones - Just a reminder, headphones are banned from being used at the circulation desk.

Windows in the Library - Please ensure that when you are closing you are double checking that all windows in the library are fully closed. Pay close attention to the 4th floor study room at the end of the hallway, the 4th floor stacks, the Periodicals Hallway, Reference Room, and the Alumni Reading Room. As temperatures drop and snow is more likely, we don't want to freeze our pipes or cause damage to our materials.

Checking In Materials - I'm still finding course reserves that haven't been checked in. PLEASE CHECK IN MATERIALS AS SOON AS YOU HAVE BEEN HANDED THEM. Do not let them sit to the side and say you'll deal with them later. PLEASE RESHELVED THEM AS SOON AS YOU HAVE CHECKED THEM IN. This goes for all books and materials, not just course reserves, but these appear to be our trouble books as of late.

When Things Aren't Checked In Properly - In the future, if you find something that has not been checked in (course reserve, extension cord, etc.) and has a fine but is on the shelf, please write down the person's name and barcode (if possible) on a note or text it to me. I can't clear fines unless I have that information because I can only go back to the last person to check out the item in the system. With reserves, this makes it hard when materials are in high demand. You can do this by checking in the item and clicking on the blue colored barcode. Then select the "Recent Circ History" tab and write down the name and barcode. 

Reshelving Reserve Books - I found two course reserve books that had been reshelved behind the desk in the normal stack reshelving area. Please make sure you are double checking whether books have a yellow sticker on the top of the spine. The yellow dot stickers mean it's a course reserve book and should not be reshelved with the general stack books. 

Frequent Misshelving - Please pay close attention to the call numbers as you are reshelving. Things have been getting badly misshelved (I found about a dozen mistakes just in the DVD PN 1997 D section....). If this continues, I'm going to have to ask that everyone puts the materials they're reshelving (behind the desk and in the stacks) on laying on their spines on the shelves, so Naomi & I can check that things are getting reshelved properly.

Patron Registration Form - When filling out the patron registration form, please ensure that the patron stays to confirm their information. If they are in a hurry and have to leave, tell them you can't check out materials unless they stay and confirm their information. Otherwise, they'll need to come back when a library staff member is around or email library@gordon.edu.

NEW POLICY - Expired Accounts - We have a new policy about expired accounts. Please do not check any materials (all books, circ desk items, curriculum tests, etc.) out to anyone with an expired account. You will still fill out the patron registration form and put "expired" in the notes section, but you will not check anything out. We're editing the form so the checkout requirement is gone (this may take a few days). If the patron gives you a hard time, tell them you do not have the permissions required to update the account and to email library@gordon.edu if they have questions, concerns, complaints, etc. 

Curriculum Test Procedure Update - When it comes to curriculum tests, please scan the patron's barcode first (make sure it isn't expired) before letting them into the curriculum test room. The only people that should be accessing curriculum tests are graduate education students, graduate education faculty, and some undergraduate courses (I'll let you know when this class happens).  

Alert Messages - Pay close attention to alert messages. We found a storage book reshelved with the normal stack books. If you have questions about alerts, check the student site (https://library.gordon.edu/student-workers/navigating-evergreen).

Storage books - If a patron comes up to the desk and asks for a book that says the location is in storage you can do one of two things. 

  1. (This is the preferred method) Go up to the attic (storage area) on the 6th floor and grab the book for the patron. You'll need the 1472 key to get into the attic. If you don't know where the attic is, please stop by sometime and I can show it to you.
  2. Fill out the "Request Materials" form on the desktop closest to the lobby doors. It's located in the "Forms" folder on the desktop. If you need a refresher, please stop by the desk so I can show you.

Curriculum Library Cards - Curr.Lib. cards MUST be checked out to any patron who wants to use them. 

Patrons Having Issues Accessing Databases/Logging In - Patrons that are having issues accessing the online databases or need a password reset of some sort need to email library@gordon.edu. This will ensure that the proper staff member is handling the request. If it is over the weekend, they may not get a response until Monday, unfortunately. Please do not tell them to call or email a staff member directly as people are still remote and who is in day-to-day changes. 

Books with Prefixes - Please keep an eye on prefixes as you reshelve. We've found some scores, juvenile, and picture books reshelved with general collection books. Books with prefixes like Curr. Lib., Holcomb, Score, etc. have designated reshelving areas.

DVDs on Course Reserve - Please be aware of DVDs when you are checking them in. There are a number of DVDs on Course Reserve and some of them have made their way into the DVD 3rd Floor Hallway. Course Reserves all have a yellow sticker on the top of the spine with the course code and the location of the item when checked in will read Course Reserves. Please double check that none of these are being reshelved with the regular DVDS.

Course Reserves - As you know, course reserves are back. But, what do you do if a Professor or a TA drops off books to be put on reserve. First, ask them if they have already filled out a course reserve form. If they have, take the form (unless they filled it out online) and put it with the books being put on reserve and place them on Alec's problem shelf. Let me or Naomi know that they have been dropped off. If they have not filled out a form, please have them fill out one of the pink course reserve slips at the desk (seen below). They are located next to the receipt printer on the far left of the desk.

Guest Printing - Guest printing is allowed. I will make sure to update the student worker site. To print, patrons will need the guest copy card (make sure they leave behind their car keys, license, or a credit card). They'll use the papercut username and password on the back of the card to login to print.gordon.edu. They'll need to select the circ desk cash only option. Once they print, they will need to come back to the desk where you will manually release the prints and they will need to pay $0.05 per page. Once they have returned the copy card, please give them back their belongings.

 

*IMPORTANT​* We need to have a chat about the Curriculum Test Room.

1. Curriculum Tests are only reshelved behind the desk (near the holds shelf). You will check them in and put them on that shelf. Naomi reshelves them from there. Let me know if you have any questions.

2. Please make sure that the door to the Curriculum Room is always fully closed. The door sticks, so it needs to be forcefully closed. If you are letting a patron in, please tell them they need to pull it closed behind them and check after they have left. It is VERY IMPORTANT that these tests remain behind a fully locked door to protect from theft or unauthorized copying.

3. The Curriculum Room should only be accessed by Education majors (undergrad and grad) or Education professors.

4. The tests must be checked out on a Gordon patron account. If a grad student does not have an ID card, have them show a photo ID, such as their driver’s license, and use the patron search to find their Gordon account.

5. Please follow all of the above steps or ask me any questions. These are highly sought-after materials. One class of 20 students might all be vying for the same copy of a test within the same couple of weeks. These tests are also VERY EXPENSIVE to buy and replace. We don't have many copies so if one of them goes missing or is lost it is expensive to replace. 

Reshelving Issues - Make sure you are paying attention to where books need to be reshelved behind the desk. Cur.Lib., Juvenile, and Picture books all are shelved in different locations (they are marked) not together. Also, we found Picture books in the general stack reshelving area. THESE ARE NOT THE SAME. Please pay attention to the prefixes above the call number as well as the location when you check them in. If you have questions, ask.

Front Desk Responsibilities -  Please remember that the first things you should do when starting your shift are:

Check to see if there are any books behind the circulation desk that need to be sensitized and reshelved behind the desk or reshelved in their proper areas. This includes DVDs, new books, display books, career books, and Holcomb books. If you are on a two-person shift, one of you should also check to see if the Reference Room books need to be reshelved or if there are Scores or CD sleeves in the back that need to be reshelved.

Reshelving Reference Books - When you are on your shift, especially those that work weekends, please check the Reference Room reshelving areas. There is currently a lot of materials that need to be reshelved. This is one of your responsibilities before starting homework. If you work by yourself, please put out the "Please ring for service..." sign and the doorbell. Then watch for patrons needing help as you reshelve. 

Placing Books on Reshelving Shelves and In Stacks- We have noticed that the books on the reshelving shelves are not being shelved properly. Below you will find an "Incorrect" and "Correct" photo for how the books should be reshelved. Please place books on the inside of the book stands and the the hanging "stands". Please make sure to move the hanging ones when books are starting to bulge. The hanging ones can be squeezed in and moved along the shelf as you need more or less room. Books should not be left flat on the shelf or propped up against the book stands.  If you have any questions let us know.

PhoneSoap - This is a new cleaning device that will be used to sanitize electronics like the phone chargers, the COSTCO & CURR. LIB. cards, and anything else that is similar to that. You may also allow people to start borrowing scissors because we can stick them in the new device.

  • Location: It is a large, white, rectangular box and is located next to the sound system (between the two desk "spots").

  • How do you use it?: It's super easy. You'll take the item you want sanitized, open the door (it opens on the right), place it inside, and close the door. It will automatically start sanitizing the item and will last for 10 mins. A light will come on to show you that it is sanitizing. When the light turns off you can take the item out and reshelve it where it needs to go. I have left the "Let's get started" pamphlet on top of the device in case any of you want to look over that as well.

Feel free to use it to sanitize your own phones or headphones, but PLEASE DO NOT put books in it as it could damage them. 

Fireplace Remote - The fireplace remote was moved to make room for the new device. It is now in the upper right corner (see photo above).

Curriculum Tests - Graduate Education majors (Grad. Ed.) will be starting to request access to curriculum tests. If someone asks you for a specific test, you will take the 1472 key and open up room 309 (Curr. Lib. Tests) which is on the left hand side of the hallway leading to CTS. Grad students can pull the tests they need for themselves, but make sure that you stay in the room with them to ensure that the door is locked and closed when they are done. If they ask for the Curriculum Test Laptop or a Laptop that will grade the Curriculum Tests, you can find it in the Curriculum Test Room. It is on the right-hand side near the door in a black case. All login information should be in the case. Please make sure that the students check out the tests (and laptop) - there is a barcode on the front of the bag or box that the test is in.

  • A note about reshelving. Please do not, place books to be reshelved at the end of a row of books. When shelving books either in the stacks or behind the circulation desk please shelve them in the correct order in among the books already there. If you don't have time to finish shelving your books they need to be left on the book cart or on the "checked in, to be sensitized" shelf behind the desk. This is how books get lost! Do your part to make sure we are keeping track of the books.

Fireplace. With cold weather comes request to turn on the fireplace. We wanted to remind you that you can make the decision whether you want to turn on the fireplace or not. It can get very warm in the lobby and especially the mezzanine when the fireplace is on, so use your judgment. Here are some reasons why we don't keep it on all the time, which you can feel free to share with students:

  • The Mezzanine gets very hot when the fireplace is on. The other day it was 87 degrees! Physical Plant has since regulated the temperature, but still things heat up quickly. You might leave it on for an hour and shut if off again. 
  • The flame adjustment is always on high, which means we can't turn it down. This obviously adds to the heat. 

So use your judgment, but also feel like you can say no. :)

Curriculum Test Laptop. 
Thank you all for your wonderful work with the CurLib tests this semester. I know that collection is not easy. I wanted to let you know about one other item you might get request for over the next few weeks: The Curriculum Test Laptop. Students will likely come to the desk asking the thing that "let's them do scoring." They mean the laptop. Only the Woodcock Johnson and the WIAT has scoring software. You can check out the laptop per usual, but it only circulates for 2-hours and cannot leave the library. Login instructions are written on a white sticky on the palm rest on the laptop.

  • Confusion about Woodcock-Johnson IV CurLib Test

    There are five blue bags that are all part of Woodcock-Johnson IV. Three of the bags correspond to different test Forms – Form A, Form B, and Form C. EDU 582/682 has been using all of the Forms. The fourth bag is a Manual. Students only need the manual bag if they are checking out Form C. The fifth bag is something called Extension. The Extension is rarely checked out so you can ignore that one.

    Course Reserve – one of these blue bagged Woodcock-Johnson IV is on course reserve for EDU 582/682. This is FORM A, only. The course reserve Form A checks out for a 24-hour loan period. We did this at the professors request because it is a very popular test and we needed to get it back in the library faster.

    All other tests for Woodcock-Johnson (Form B, Form C, and the manual bag) check out under the usual week long loan period.

  • Automatic renewals - some of you may be getting questions at the desk about emails patrons have been receiving regarding due date of materials, renewals, or "not able to renew." A few weeks ago we turned on the option to auto renewal all Gordon owned material if the following are true:
    • ​The patron has renewals on the items remaining.
    • The book has not been requested by someone else (i.e. placed on hold).

If it's able to process the renewal, the item(s) will be checked out for the new loan period automatically. We still have some things to workout with this method, especially in regards to email notification, but that's why you might be getting some strange questions at the desk about renewing. 

RESHELVING BEHIND THE CIRC DESK

A few things to keep in mind to make things easier on your shifts:

  • Put away material as soon as you check-in. This reduces room for error if you reshelve in its correct location immediately. This is most important for Course Reserve material. If you are really busy, make piles according to material location to come back to later.
  • When in doubt - shelve items in Call Number order. With the exception of the "not yet sensitized" shelf (books waiting to be put in call number location in the back) and course reserves, all other reshelving locations behind the desk should be shelved in call number order.
  • Course reserves are shelved alphabetically by title! Use the yellow circle on the spine to figure out where they go.
