Library Student Worker Guide: Front Desk Responsibilities

Reshelving

Procedure for reshelving:

  • Fill a book cart from the re-shelving area behind the desk.
  • When re-shelving on stack level 3 wheel the book cart down the hall. Stack Level 3 is right there to the left on the same floor. For stack level 4, take the book cart up 1 floor on the regular elevator.
  • For stacks 1, 2, and 5 roll the cart down the hall to the book elevator found inside Stack Level 3. Load the elevator with the books for one of these floors, bring them to the correct level, and unload the elevator and place the books (in order) on the cart you will see on that level next to the book elevator.
  • Always close both the inner and outer elevator doors completely when you are operating the elevator. Always return the elevator to level 3.
  • Shelve books carefully. 
  • Do not shelve books that are damaged or falling apart; send them to be repaired (ie. Alec’s Problem Shelf).
  • If you do not have time to finish re-shelving all the books on the cart leave the books on the stack level cart for stack levels 1, 2, & 5. For stacks 3 & 4 return the book cart to the circulation desk.
  • If any books are left on a cart write this down on the form titled “Reshelvers" on the line marked "the next area that needs to be re-shelved is:”
  • Keep shelves neat, picking up and shelving loose books, and straightening any rows which have fallen over or become a mess. Make sure these are in call # order.

Calm Radio

  • The library has a subscription to CalmRadio.com which has a link to on the right-hand computer.
  • The radio unit is on a shelf below. Make sure the power is turned on. Anything played from this computer is heard through speakers in the lobby. So, think of this system as providing music for everyone to enjoy. Also be sensitive to whether the music is too distracting for students studying or talking to each other in the lobby.

Timesheets

We have a new way of submitting timesheets. Please make sure you take a look at the document below to learn more about how to submit your timesheets.

LC Easy

  • This a re-shelving program found on the desktop of the computer on the right. The exercises found in this program are designed to help you become familiar with the Library of Congress re-shelving system.
  • All 1st time student employees need to do 1 or more of these exercises as part of their training. Returning students should feel free to do these exercises as well. A refresher is always helpful, especially if you choose to do re-shelving in the stacks.

Navigating Evergreen

  • ​​On the Evergreen Homepage, functions are accessible from this screen in two places. The 1st place you see centered on the screen will be 3 columns of functions. You will deal with those found in the 1st column titled “Circulation and Patrons”, and the top 2 or 3 functions in the middle column titled “Item Search and Cataloging”.
  • The next place to find these functions is a bar above the columns with drop-down menus.
  • Another method to use is the keyboard where some of the F keys at the top have been programmed for certain functions.

Where Things Are Located

Lost & Found

  • If someone is looking for something they are missing look in our ‘Lost & Found’ bin. This bin is kept in the cupboard to the far left below the counter.
  • Once a week these items should be packed in a box and sent via inter-campus mail addressed - To: Lost & Found, Rodgers Reception Center. From: Jenks Library. In the address we are required to include where the box is coming from.

Other Supplies

  • Other supplies such as scissors, sticky notes, pens, etc. can be found behind the desk in a drawer. These drawers are labeled "Supply Refills."

Printers/Copiers

  • The 2 Printer/Photocopy machines in the Reference Room will be most often used by students. 
  • A guest printer is located at the desk under the counter. This is a CASH ONLY printer meaning that students who print to this printer must pay before you give them what they printed. 
  • The circ desk printer is located under the computer at the far right. The pull list is printed from this machine. 
  • Receipt printers, 1 for each computer can be used to print up a receipt for items checked out. Ask if the patron wants one. They will be notified by email as well. Receipt paper supplies are kept inside the cupboard below the counter at the far left.

Answering the Phone

  • Answer the phone by saying “Jenks library, circulation desk, how may I help you?”
  • If you wish to transfer the call to a library staff person do the following: let the person know you are transferring the call to ______, push ‘transfer’ button, dial the extension #, then when the library staff person’s name appears on the screen and the phone is ringing you can safely hang up.
  • If you don’t know the extension of the staff person you can look it up in the ‘FacStaff Directories’ found on the desktop of the left-hand computer.

Reserves

Reserves are materials put aside for classes by the professors. Physical materials are held  behind the circulation desk and online materials are accessible through the catalog.

  • Physical reserve materials can be identified by a yellow sticker with course ID and a letter representing the title. There is also a sticker which will tell you the length of time the item will circulate.
    • These are shelved behind the desk according to course ID and then title so you will need to have the student who is asking for a reserve to tell you the course ID and the title of the material they need.
    • When checking out a physical reserve item always tell the student when the item is due back. The materials circulate for different periods of time and the student doesn’t always see the sticker which tells them the circulation period.
